Organising Project Operations and Deliverables
A four-person consulting team ran client projects through WhatsApp. Tasks were shared in chat and not recorded anywhere central.
Responsibility was unclear, progress was hard to find, and follow-up depended on the founder. The red notes show where the work broke down.
I mapped how work really moved, then tied each weak point to a specific problem so every fix had a reason.
One tracker holds every task with its owner, deadline, blocker and next action. A responsibility matrix removes doubt about who does what. The improved workflow links each step to the problem it fixes.
The system is kept current with three documents: a weekly status report, a risk and issue log, and a short SOP that tells task owners how to update the tracker.
A team can see the real state of the work without asking the founder: named owners, clear deadlines, and a weekly report that flags what is overdue, blocked or at risk. This is a demonstration project, so I do not claim business results.
